1. Information we collect

Information you give us

• Account details — name, email, phone, company name, and password when you create or use an account.
• Project content — files, messages, credentials, form responses, and other materials you upload to the client portal so we can deliver the work.
• Billing details — payment information you provide to our payment processors (Stripe, QuickBooks). We do not store full card numbers on our servers.
• Communications — emails, messages, and form submissions you send us.

Information collected automatically

• Usage data — pages viewed, actions taken, IP address, browser type, referring site, and approximate location, collected through cookies and analytics tools like PostHog.
• Device data — operating system, screen size, and similar technical metadata.

Information from third parties

When you connect an integration (Google, Microsoft, Stripe, QuickBooks, etc.), we receive the data you authorize from that service — typically a profile email, calendar events, payment records, or invoices. We only request the minimum scopes needed for the integration to work and we do not sell or share that data outside the integration use case.

2. How we use information

• Deliver, maintain, and improve the Services.
• Process payments and manage subscriptions.
• Send transactional emails (welcome, invoices, project updates) and operational notices.
• Provide customer support and respond to inquiries.
• Monitor security, detect abuse, and enforce our Terms.
• Analyze and improve product performance and marketing.
• Comply with legal obligations.

3. How we share information

We don't sell your personal information. We share it only in these situations:

• Service providers. Trusted vendors that help us run the Services, including Supabase (database, file storage), Vercel (hosting), Resend (email), Stripe (payments), QuickBooks (accounting), Google and Microsoft (calendar/email integrations), Anthropic (AI), Calendly (scheduling), and PostHog (analytics). Each vendor processes data only as needed to perform its function.
• Legal. When required by law, subpoena, or to protect rights, safety, and property.
• Business transfer. If AskQuala is involved in a merger, acquisition, or sale of assets, your information may transfer to the successor entity.
• With your consent. In any other case where you explicitly authorize sharing.

4. Data retention

We keep your information for as long as your account is active and for a reasonable period after to comply with legal and accounting obligations or resolve disputes. You can request deletion at any time by emailing hello@askquala.com. Some information (e.g., paid invoices) may be retained longer where required by tax and accounting laws.

5. Your choices and rights

• Access, correct, or delete. Email us to request a copy of, correction to, or deletion of your data.
• Disconnect integrations. You can revoke any Google, Microsoft, Stripe, or QuickBooks integration from the portal's Settings page or directly from the provider's account dashboard.
• Opt out of marketing email. Use the unsubscribe link in any non-transactional email or contact us. Transactional emails (invoices, account notices) cannot be opted out of while you have an active account.
• State-specific rights. Residents of California, Virginia, and other states with privacy laws may have additional rights — including the right to know, delete, correct, and opt out of certain processing. Contact us to exercise them.

6. Security

We use industry-standard safeguards — encryption in transit (TLS), encryption at rest for sensitive credentials (AES-256-GCM), role-based access control, and audit logging — to protect your information. No system is perfectly secure, so we cannot guarantee absolute security.

7. Children

The Services are not intended for anyone under 18. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we'll delete it.

8. International users

AskQuala is operated from the United States. By using the Services, you understand that your information may be processed in the United States and other countries where our service providers operate, which may have different data protection rules than your jurisdiction.

9. Changes to this Policy

We may update this Policy from time to time. Material changes will be posted on this page with a new “Last updated” date. We'll also notify active account holders by email when changes are significant.
